This statement explains how The Harrogate Arts & Mercer Gallery Development Trust handles and uses data collected from our members. We collect data to keep in touch with you, to keep you apprised of our activities, and to identify ways in which you can support the charity.
We obtain information about you when you provide it to us on joining and on annual renewal, or when you contact us for any reason. The legal basis for collecting and processing your personal data is your consent, where you have provided this, and otherwise our legitimate interest.
The personal information we collect includes your name, address, telephone number and email address.
We receive bank account details from those members who ask us to arrange standing orders for payment of subscriptions.
We may use your information to:
- process subscriptions and donations that you have made
- send you our regular Newsletters
- send you reminders for annual subscriptions and events
- send you information relating to our work and objectives.
- seek your views or comments on matters falling within the objectives, which may include an appeal for donations if necessary to support a specific acquisition
- enable us to complete the Gift Aid tax rebate submission to HMRC
We review our retention periods for personal information on a regular basis. We are legally required to hold some types of information to fulfil our statutory obligations (for example the collection of Gift Aid). We will hold your personal information on our systems for as long as is necessary for the relevant activity.
Only the Chairman, Honorary Treasurer and Membership Secretary have access to your information.
Your address is given to the Mercer Art Gallery so that invitations to events may be extended to you.
With the above exception, we will not sell, rent or share your information to third parties.
The accuracy of your information is important to us. If you change email address, or any of the other information we hold is inaccurate or out of date, please write to the current address of the Membership Secretary.
You have the right to ask for a copy of the information the charity holds about you which will then be provided to you.
